Job Purpose

The successful candidate will be responsible for managing daily order processing and ensure accurate documentation. Collaborate with vendors, track orders, and monitor performance to ensure timely delivery and compliance with policies and standards.

Specific Duties and Responsibilities
  • Expedite orders daily as well as monitoring the correct completion and archiving of purchasing documentation.
  • Facilitate flow of material between various departments and suppliers including:
           -Managing outstanding line items.
           -Confirmation of receipt.
          -Managing returns and requests for change (i.e. promise delivery date). 
          -Track orders from placement through delivery
  • Liaise with vendors/suppliers, buying team and requisitioners to ensure timely delivery of goods/material as well as coordinating with the requisitioners.
  • Partner with receiving department to identify deliveries that are not OTIF (On-Time, In-Full) for subsequent engagement via the supplier management process.
  • Collaborate with contract specialist and vendor maintenance personnel to assess performance of suppliers and vendors as well as identify solutions for ongoing challenges.
  • Liaise with creditors regarding order queries and other related Procure-to-Pay concerns.
  • Retain all expedite reports and documentation for reference and auditing in accordance with FCFQ.
  • Monitoring performance of on-site vendors and where necessary escalating to the contract specialist should discrepancies be identified e.g. backlog of outstanding orders.
  • Adhere to Illovo’s procedures, policies and guidelines, including, without limitation, those relating to SHERQ, Competition Law and Anti-Bribery and Corruption (ABC)
  • Ensure compliance to the FCFQ is achieved through rigorous engagement with group and internal audit (this includes maintaining relevance to current systems, policies & procedures

Job Qualification and Experience
• Diploma or Certificate in Purchasing and/or Supply Chain
• 1-2 years’ experience in general stores or procurement 
• Strong communication skills with experience in engaging with stakeholders at all levels
• Computer literate
• Strong numerical and analytical skills
• Working knowledge of Inventory technology systems will be advantageous


Terms of Service: The successful candidate will be engaged on a Permanent Contract.
